Wellspace NW LLC ("Flexspace," "we," "us," or "our") operates the Flexspace platform, accessible at flexspace.app and through space-specific portals such as [spacename].flexspace.app. This Privacy Policy explains how we collect, use, store, and share information when you use our platform as a space owner or as a renter.

By using the Flexspace platform, you agree to the practices described in this policy. If you do not agree, please discontinue use.

Who This Policy Covers

Flexspace serves two types of users:

  • Space Owners — businesses or individuals who create and manage rental spaces on the Flexspace platform.
  • Renters (Members) — individuals who create accounts, join a space, and book rental time through the platform.

Both user types are covered by this policy. Certain sections below apply specifically to one user type and are noted accordingly.

Information We Collect

We collect information you provide directly and information generated through your use of the platform.

From Space Owners, we collect:

  • Name and contact information
  • Business name and location
  • Account login credentials
  • Space and room configuration details
  • Membership tier and pricing settings
  • Payment information (processed and stored by Stripe)
  • Communications sent through the platform messaging system

From Renters, we collect:

  • Name and contact information
  • Account login credentials
  • Booking history and add-on selections
  • Payment information (processed and stored by Stripe)
  • Door access activity, including entry dates and times
  • Communications sent through the platform messaging system

How Information Is Collected

We collect information through the following means:

  • Account registration and profile forms
  • Booking and payment transactions
  • Door lock integration activity logs

Owner Access to Renter Data

Space owners operating on the Flexspace platform have access to certain information about their members. This includes renter contact information, booking history, add-on selections, and door access activity associated with their space.

Payment details are processed and stored by Stripe. Flexspace does not store full payment card information, and space owners do not have access to renter payment card data.

Renters who join a space through the Flexspace platform acknowledge that the space owner administering that space has visibility into the activity and account information described above. Space owners are responsible for handling renter data in accordance with applicable privacy laws.

White-Label Portals

Some space owners operate their rental portals through a custom subdomain (for example, [spacename].flexspace.app). These portals are powered by the Flexspace platform, as identified in the site footer. Regardless of the portal through which you access Flexspace, this Privacy Policy governs how your data is handled by Wellspace NW LLC.

Payment Processing

All payment transactions on the Flexspace platform are processed by Stripe. Flexspace does not store credit card numbers or full payment account details on its servers. Stripe's handling of payment data is governed by Stripe's own privacy policy, available at stripe.com/privacy.

Activity and Access Logging

The Flexspace platform logs activity associated with each user account. This includes rental dates and times, add-on items selected, and door access events. This data supports platform operations, provides space owners with management visibility, and maintains accurate booking records.

SMS Communications

By opting into SMS communications through the Flexspace platform, you consent to receive text messages related to your account, bookings, and platform activity. Message and data rates may apply. You may opt out at any time by replying STOP to any message or by updating your communication preferences in your account settings.

Email Communications

By subscribing to email communications, you consent to receive newsletters, platform updates, and related messages from Flexspace. You may unsubscribe at any time using the unsubscribe link included in any email we send.

Cookies and Tracking Technologies

Flexspace uses cookies and similar tracking technologies to support platform functionality and analyze usage. We use Google Analytics and Google Tag Manager to understand how users interact with our platform. This data is used in aggregate and is not used to identify individual users outside of the platform.

You can manage cookie preferences through your browser settings. Disabling certain cookies may affect platform functionality.

Third-Party Tools and Integrations

Flexspace integrates with third-party services to deliver platform features. Current integrations include Stripe for payment processing, Google Analytics and Google Tag Manager for usage analytics, and door lock hardware providers for access control. Each third party operates under its own privacy policy. Flexspace does not sell user data to third parties.

Data Retention

We retain user data for as long as an account remains active or as necessary to fulfill the purposes described in this policy. If a space owner account is closed, all associated data — including renter data connected to that space — will be removed from our systems within 15 days of account closure.

Minors

The Flexspace platform is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from minors. If we become aware that a minor has provided personal information through the platform, we will take steps to remove that information promptly.

Data Security

We maintain reasonable technical and organizational measures to protect the information we collect from unauthorized access, disclosure, or misuse. No system is completely secure, and we cannot guarantee absolute security of your data.

Your Rights and Choices

You have the right to access, correct, or request deletion of your personal information. To submit a request, contact us at support@flexspace.app. We will respond within a reasonable timeframe in accordance with applicable law.

Changes to This Policy
